INTERN – PROCUREMENT
Reporting to Procurement Officer
Job Purpose
To assist in the management and coordination of procurement agents, buyers or purchasing agents, as well
as assist in procurement of goods required by the organization in an ethical manner with strong focus on
internal customer satisfaction. In addition, ensure that all supply activities are carried out in accordance
with ZAMCOM policies and procedures as well as complying with the relevant statutory requirements.
Main Duties
– Assist in performing routine procurement duties in line with the procurement policies and procedures.
– Initiate purchase action requests, clarify specifications with the requester to fully understand
procurement needs.
– Track orders and ensure timely delivery.
– Conduct research and sourcing new suppliers and vendors.
– Conduct market research to keep abreast of emerging trends and business opportunities.
– Update and maintain complete procurement records and ensure they are properly safeguarded and
accurate for the future reference.
– Ensure that the procurement team purchases at the most favorable price, consistent with quality,
quantity, specification requirements and other factors.
– Ensure sound ethical standards within the section and act on any deviations.
– Resolve problems and issues arising from purchase of services, supplies and equipment with internal
and external clients.
Establish and maintain a cordial relationship with internal customers and external suppliers.
– Perform any other duties as may be assigned by the supervisor.
KNOWLEDGE, SKILLS AND ABILITIES
– Full Grade Twelve Certificate
– Bachelor’s Degree in Purchasing and Supply
– Must have graduated between 2021 and 2022
– A member of ZIPS/CIPS will be an added advantage.
– Proficiency in all Microsoft Office applications.

Job Profile
To assist in the day to day running of marketing activities and this entails planning, implementing, managing and overseeing the Institute’s overall sales strategy and selling of products and services to customers.
Main Duties
– Develop ideas and strategies on how to promote our brand and services
– Assist in the research and identification of new sales leads
– Contact and follow up with potential new customers through off site meetings and phone.
– Help prepare sales materials, including presentations and proposals.
– Preparing and submitting of bid documents
– Assist in the tracking and analysis of sales data off site.
– Attend and participate in sales meetings and trainings
– Assist with activities across the marketing department, including the production of marketing
collateral, drafting and scheduling social media and the organization of conferences and events
– Design and present new social media campaign ideas.
– Generation of lists of prospects, in various areas of expertise and markets; with a view to generate
new contacts within relevant industries and research areas that can then be approached via
marketing / sales
– Assist in tracking the performance of marketing activities, generating reports of relevant metrics
and coming up with ideas and suggestions for further activity
– Prepare detailed promotional presentations.
– Research and evaluate competitor marketing and digital content.
– Contribute to the creation of mock-ups, email campaigns, and social media content.
– Run advertising and promotional campaigns for products and services on a variety of media
platforms (social, electronic, print etc.)
– Monitor progress and submit performance reports on a quarterly basis
KNOWLEDGE AND SKILLS REQUIRED

JOB PURPOSE
To perform a wide range of HR and administrative support activities in the department as well as act as the
link between HR and employees. In addition, ensuring smooth communication and prompt resolution of
requests and questions pertaining to HR and Administration.
MAIN DUTIES
– Assisting with day to day operations of the HR functions and duties
– Providing clerical and administrative support
– Compiling and updating employee records (hard and soft copies)
– Process documentation and prepare reports relating to employees’ activities (staffing, recruitment,
training, grievances, performance management etc.)
– Assist in screening potential employees’ resumes and application forms to identify suitable

LODGE MANAGER
Reporting to the Executive Director
Job purpose
The Lodge Manager will be responsible for all areas of operations of the ZAMCOM Lodge, including staff and guest management, participate in marketing of the facility, as well as provision of leadership and strategic direction. He/she will be required to manage profitability of the lodge and guest satisfaction.
Main duties
- Responsible for all the operations of the Lodge, including Food and Beverage, Housekeeping, front office, Kitchen and maintenance.
- Responsible for the preparation, presentation and subsequent achievement of the annual operating budget.
- Market the Lodge’s products and maximize revenue through innovative sales and promotional practices.
- Manage ongoing profitability of the Lodge, ensuring that revenue and guest satisfaction targets are met and exceeded.
- Closely monitor the Lodge’s business reports on a daily basis and make decisions accordingly.
- Compliance with all legal requirements by ensuring that all necessary registrations are completed.
- Assist in the procurement of supplies and equipment and contracting with suppliers for goods and services.
- Investigate and handle all customer complaints effectively.
- Manage all staff reporting to the position in order to effectively assist, train, motivate and monitor their activities.
- Provide effective leadership to Lodge team members.
Knowledge and Skills Requirements
- Full grade twelve (12) Certificate
- Degree in Hospitality, Hotel Management or related
- Relevant Master’s Degree shall be an added advantage
- Five (5) years relevant experience at senior management level
- High standards of service excellence and a passion for the industry
- Demonstrated experience of having managed a Hotel or Lodge
- Excellent Management and communication skills.

LIBRARIAN
Job Purpose
To compile records, sort and shelve books, and issue and receive library materials such as books. Locate library materials for loan and replace material in shelving area or files according to identification number and title. Register patrons to permit them to borrow books and other library materials.
Duties & Responsibilities
- Conduct all circulation duties such as Lend and collection of books and periodicals to students.
- Classifying and cataloguing all Library materials according to cataloguing rules with the aid of cataloguing tools.
- Shelving of books to designated storage areas.
- Conduct reference duties such as locating Library materials for students
- Instruct students on how to use reference sources, card catalogues, and automated information systems.
- Inspect returned books for condition and due-date status, and compute any applicable fines.
- Perform clerical activities such as filing, typing, word processing, photocopying and mailing out material, and mail sorting.
- Ensure members maintain discipline within the library and abide to all the rules stated by the library
- Send out notices and accept fine payments for lost or overdue books.
- Repair books, using mending tape, paste, and brushes.

Qualifications
- Full Grade 12 Certificate;
- Diploma in Library studies

RECEPTIONIST
Reporting to the Personal Assistant to the Executive Director
Job purpose
To receive visitors and direct them to the appropriate office as well as handle incoming and outgoing telephone calls in accordance with stipulated guidelines and etiquette. Deliver excellent customer service being the first point of contact for all interactions.
Main Duties
- Accept deliveries, mails, invoices organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the recipient in a timely manner.
- Manage safety and security of property and documents in the reception area, and ensure there is no congestion at the reception
- Manage calls by routing them to the proper extensions or taking messages and delivering them
- Ensure internal telephone directory is maintained, and updated regularly
- Maintain the reception area, keeping it clean and free of clutter.
- Handle filing and data entry as requested
- Requisition and maintenance of adequate inventory of office supplies
- Ensure quick escalation of any system outages impacting operations & ensure follow up till resolution.
